Introduction

ICS takes the privacy of our members, delegates and website users seriously and aim to use personal information fairly, correctly and safely in line with the legal requirements set out by the General Data Protection Regulations (GDPR) This policy sets out what data we collect and why. This policy covers our website, membership systems, payment processing and scientific publication online. If you have any questions please contact us on info@ics.org

Who are we?

The International Continence Society (ICS) and our trading subsidiary Conticom ICS Ltd adhere to this policy. The ICS data controller is Dominic Turner and can be contacted via info@ics.org

What information do we collect?

We collect and store scientific research and opinion to be presented at our events and published on our platforms both electronic and physical.
Personal address and contact information is collected about all of our members and delegates to our events.
ICS takes financial information e.g. credit card etc at the time of payment but does not store these details.
Meta data about visitors to our websites is collected anonymously tracking web usage, browser information and cookie data to better understand our clients needs.

How do we use personal information?

We use contact information to email, telephone, post to people who have been ICS members, attended our events or submitted a research paper. Our primary aims are the charitable mission of the ICS and the fulfilment of business obligations to our customers, clients and partners.

We hold your personal data on the basis of consent and our contractual obligations as a part of ICS membership. Your data can be removed at any time by contacting us at info@ics.org. Note that we must hold your data if you are an ICS member as part of our contract with you involves providing you with information and services to your contact addresses.

When do we share personal data?

ICS will treat your data confidentially. When we are publishing your scientific work we will not publish your contact details. We will store and protect your contact information for ICS use. This data is sometimes shared with companies employed by ICS to fulfil our business needs and on our behalf. When you register for the ICS annual meeting you can indicate if you wish to be contacted by companies involved in the meeting. ICS never sells or licenses access to your data to third parties for any reason.

Where do we store and process personal data?

The ICS Office is based in the UK but our members and clients are global. We will therefore comply with UK legislation but will utilise computer services worldwide as we see fit in order to deliver the best service to our members and clients. When using services outside of the UK we will maintain the high security and privacy standards our members expect and comply with UK legislation.

How do we secure personal data?

ICS will make every effort to secure your data and prevent against accidental loss. Bulk data export will only be sent on secure encrypted channels. Policies are regularly reviewed to ensure safety and security are maintained. Staff training and legal contracts will be employed as we see fit to ensure a secure environment is maintained. Disaster recovery measures are put in place to prevent data loss. ICS Systems are located at a secure remote facility complying with the highest physical security standards.

How long do we keep your personal data for?

ICS will keep contact details indefinitely until our members no longer require our services. Membership information will then be deleted from online systems and summary meta data archived offline for historical purposes. Personal contact data can be deleted on request at any time though this is not compatible with ICS membership.

Your rights in relation to personal data

All users have access to their contact information and can update them at will. Correction and deletion is under the users’ control. If you wish to have your data deleted at any time please contact us at info@ics.org. If you have a complaint you can do so with the Information Commissioner’s Office https://www.gov.uk/government/organisations/information-commissioner-s-office
We will not release your information unless we can verify your identity and reserve the right to contact you via your published public profile and place of work if your identity is in dispute. All of these rights are subject to UK legislation and we will release your information to the relevant legal authorities if compelled by law.

Why do we collect data on age/profession/gender/sex?

ICS is a caring organisation that wishes to encourage a diverse membership from both sexes and all ages, disciplines worldwide. In order to achieve this ICS will collect sex, age, profession and country data to monitor its performance and target its activity. See here for our inclusion statement.

ICS makes use of cookies to authenticate use of our secure system and track your usage of our systems. In all cases this is to provide you with a safe and secure environment to work in and for us to better understand your needs. We will never sell this information to a third party.

ICS is a membership society with many individuals publishing their academic work, research and opinion. ICS has copyright of all authors work published and permission should be sought for replication. Opinions and work published are the authors. Links to external sites do not mean endorsement of content.

ICS Code of Conduct

In addition all users of the ICS website, systems and attendees at ICS events are expected to follow the ICS Code of Conduct, available under the ICS Bylaws.
